1. What We Collect
We collect information you provide when registering (name, contact details, company, vehicle details and, for mechanics, verification documents and banking details), and information generated as you use the Service (breakdown reports, jobs, invoices, ratings, messages, and device and log information such as app version and connection status).
2. Location Data
Location is central to breakdown recovery. We collect a driver's location when a breakdown or SOS is reported, during active jobs for live tracking, and during periodic welfare checks while on duty. Fleet controllers can see the live location of their own fleet's trucks only. We collect mechanics' locations while they are available for or performing jobs, to enable dispatch and ETA. We do not sell location data, and we do not track drivers or mechanics outside these contexts.
3. How We Use Data
- To dispatch the nearest suitable verified mechanic and show live progress.
- To let controllers monitor their own fleet and respond to emergencies.
- To generate invoices and process EFT payments.
- To verify mechanics and maintain trust, quality and safety on the network.
- To provide support, investigate incidents and prevent fraud or misuse.
- To improve the Service, including aggregate, de-identified analytics.
4. Legal Bases
Where data-protection law applies (for example under Namibian law, South Africa's POPIA for South African users, or similar laws in other operating countries), we process personal data: to perform our contract with you; for our legitimate interests in operating a safe and reliable recovery network; to comply with legal obligations (tax, accounting, safety); and, where required, with your consent — which you may withdraw at any time.
5. Sharing
We share data only as needed to deliver the Service: a breakdown's location and vehicle details with the assigned mechanic; job and driver status with the driver's own transport company; payment details with our banking partners; and limited data with service providers (hosting, communications, analytics) bound by confidentiality obligations. We may disclose data where required by law, court order, or to protect the safety of a driver in an emergency. We do not sell personal data to third parties.
6. International Transfers
OverhaulOS operates across multiple African countries; cross-border jobs necessarily involve transferring job and location data between our operating entities in those countries. Our hosting providers may store data in data centres outside your country. Where we transfer personal data internationally, we use reasonable contractual and technical safeguards to protect it to the standard described in this policy.
7. Security
We protect personal data with industry-standard measures, including encryption in transit, access controls, role-based permissions (controllers see only their own fleet), audit logging and staff confidentiality obligations. No system is perfectly secure; if we become aware of a breach affecting your personal data we will notify you and the relevant authorities where required by law.
8. Retention
We keep personal data for as long as your account is active and as required for legal, accounting and dispute-resolution purposes. Job, invoice and payment records are retained to meet financial-record obligations (typically 5 years or as local law requires). Location traces from completed jobs are retained only as long as needed for dispute resolution and safety review, then deleted or de-identified.
9. Your Rights
Subject to applicable law, you may request access to, correction of, or deletion of your personal data; object to or restrict certain processing; request a portable copy of data you provided; and withdraw consent where processing is based on consent. Requests can be made through our contact page; we respond within the timelines required by applicable law. You may also lodge a complaint with your local data-protection authority.
10. Cookies
Our website uses cookies and similar technologies to keep the site working, remember preferences (such as language), and — where enabled — measure site usage through analytics. Analytics cookies are used only in aggregate to understand how visitors use the site. You can control cookies through your browser settings; disabling some cookies may affect site functionality.
11. Contact
Questions about this Privacy Policy or your data can be sent via our contact page. See also our Terms & Conditions.
